Call for proposals for hosting the SGSMA Conference in 2026
Proposals should be submitted with appropriate supporting documentation by November 1st, 2023, using the form below. Electronic submission via a pdf file is required and the decision is expected by the beginning of 2024.
The following elements are required components of the proposals.
Host Information:
- Description of the hosting entity/institution.
- Institutional support (Letter from a Dean or an equivalent administrator depending on whether the host is a university or other type of organization)
- The name (s) of the Conference Chair(s)
- The name of the Chair and composition of the local organizing committee and organizing team.
- Description of the hosting location (Country, City).
- Proposed date for the conference.
Logistics
- Expected duration and summary of the technical program (paper sessions, tutorials, invited talks, etc.):
- Description of the conference venue.
- Description of the transportation logistics (e.g., how to reach the conference venue)
- Accommodation (hotel, facilities, etc)
- Website commissioning date (The LOC is typically responsible for the website, but prior contents is shared by previous LOC, so the contents and look-and feel are standardized)
- Advertising venues and whether an exhibit space is planned
- Student accommodation
- Venue of the Reception and Banquet
- Use of professional conf. management support
- Technical tour(s)
- Local attractions
Financial Arrangements
- List of corporate and other patrons/supporters (e.g. local/regional utilities and or corporations).
- Estimates of registration fees (differentiated by Early Bird/late and by categories such as IEEE/non-IEEE, authors of the papers and others, students, companions, IEEE Life Members, etc.) and cost of various services needed to organize the conference.
- Estimated budget based on previous attendance records (minimum of 200 attendees)
- Any other fees (Workshops, Tutorials, etc.)
- Student grants (travel, accommodation, best paper, etc.)
- Payments for fees (credit card, invoicing, bank transfers, PayPal, etc.)
Expected support from local IEEE chapter(s), IET, and /or CIGRE organizations and possible involvement.
